Meeting notes in, advice drafts out

Photograph your notes or type them in. Tallify extracts the client's circumstances, checks whether they are new or existing, and drafts a Record of Advice and Financial Needs Analysis in your practice's format, with every assumption flagged for review.

The whole book, watched daily

Fund movements are traced to every client who holds the fund. Cover is compared against what the client used to have. Gaps and shortfalls are surfaced before a review meeting, not after a claim.

How it works

Everything below happens on the practice's own server. The only thing that reaches a cloud model is a nameless set of figures.

Intake

An advisor sends meeting notes from their phone. Client facts are extracted locally and matched against the book.

Analysis

Identity is stripped. The needs analysis and drafting run on the de-identified facts. The name goes back in locally.

Review

Drafts arrive in the advisor's inbox and in the console. The advisor amends, signs, and files the final documents on the register.

Watch

Each day the book is checked for fund movements and cover gaps. Anything worth telling a client waits for the advisor's approval.

Compliance

POPIA and FAIS by architecture, not by policy document.

The controls are in how the system is built, so they hold even when nobody is checking.

  • Data minimisation. Names, ID numbers and contact details never leave the practice server. Free text is scrubbed before any external processing.
  • Advisor sign-off. Advice is never sent to a client by the system. Factual updates are only sent after an advisor approves them.
  • Consent enforced. Clients without recorded consent are skipped automatically and the skip is logged.
  • Audit trail. Every draft, approval, rejection and record change is logged against a named user.
  • Versioned advice records. Revised RoAs supersede rather than replace. The history stays on file for the regulator.

What is Tallify?

Tallify is AI financial planning software for South African financial services providers. It watches a practice's client book every day, drafts FAIS-compliant Records of Advice and financial needs analyses from meeting notes, and holds every client communication in an approval queue until an advisor sends it. It runs on a server the practice controls.

Is there an AI that can write a Record of Advice?

Yes. Tallify drafts a Record of Advice structured to section 9 of the FAIS General Code of Conduct, plus a matching financial needs analysis, from an advisor's meeting notes, photographed forms or documents. A draft takes roughly ten minutes and is emailed to the advisor as a Word document to review, edit and sign. The system never files a draft as a final advice record.

Does Tallify send client data to ChatGPT or a cloud AI?

No identifiable data leaves the practice. Names, ID numbers, dates of birth, contact details and addresses are removed on the practice server and scrubbed from free text before a de-identified set of facts is sent to Anthropic's Claude for analysis. Document reading and extraction run on a local model on the practice server.

Is Tallify POPIA compliant?

Tallify is built so that POPIA controls are structural: data minimisation before external processing, recorded consent enforced on every client communication, role-based access, an audit log of every change, and data residency on the practice's own server in South Africa. The practice remains the responsible party under POPIA; Tallify makes the controls hold without relying on a policy document.

Does Tallify replace Xplan, Astute or my CRM?

No. Tallify sits beside existing planning and administration tools. It keeps its own client, holdings, policy and advice registers so that it can monitor the book daily, and it can import data from existing systems and industry feeds rather than requiring a practice to switch platforms.

Does Tallify run in the cloud or on-premise?

On a server the practice controls, in South Africa: either on-premise hardware or a private server the practice rents. Advisors reach the console over a private network. There is no public login page and no shared multi-tenant cloud.

Does Tallify give financial advice to clients?

No. Tallify never sends advice to a client. It drafts documents for the advisor and prepares factual updates such as fund movement notices, which are only sent after a named advisor approves them. The advisor remains the FAIS representative giving advice.

How much does Tallify cost?

Tallify is priced per practice, not per seat, so adding advisors or paraplanners costs nothing extra. Every engagement starts with a walkthrough on a demo practice and then a pilot on the practice's own data. Pricing is confirmed after the pilot scope is agreed.
